By booking a tour with Anteros Travel, you confirm that you have carefully read, understood, and agreed to all of the terms set out in this document. These Terms, together with our Privacy Policy and any written communication presented to you before finalizing your booking, form the foundation of a legally binding agreement between you and Anteros Travel. If you are making a reservation for other travellers, you confirm that you have full legal authority to act on their behalf and that they have accepted these Terms. Additionally, you consent to our collection and use of your personal data in accordance with our Privacy Policy and confirm that you are authorized to share the personal data of all individuals included in your booking—this may include sensitive data related to health, mobility, or dietary requirements.
1. Contract Formation
A booking is deemed confirmed—and a formal contract exists—once Anteros Travel issues a written confirmation following the receipt of your deposit. It is your responsibility to review the confirmation carefully and notify Anteros Travel immediately of any discrepancies. All passenger names must match exactly as they appear on passports.
You must be at least 18 years old to initiate a booking and are required to provide accurate and complete information throughout the process.
2. Booking for Others
When you book on behalf of others, you are designated as the main contact person and are responsible for managing all payments, updates, and communications with Anteros Travel. You warrant that you have received full consent from all travellers included in your booking. You are also accountable for ensuring that all provided information is accurate and complete. Anteros Travel bears no responsibility for any issues resulting from inaccurate or missing information submitted on behalf of other travellers.
3. Medical Information
You may be required to submit medical details requested by Anteros Travel, including the completion of a medical declaration form. This form may be mandatory, particularly if you have a condition that could impact your ability to safely join the tour, or that may affect others.
If you have any pre-existing condition that could pose risks during travel or in remote areas, a physician-signed medical form must be submitted before or at the time of final payment. You are expected to be truthful and thorough when disclosing medical details. This information will be handled in line with our Privacy Policy.
Anteros Travel may request additional health documentation if deemed necessary for your safety or that of the group. We reserve the right to refuse your participation in any tour or part thereof if we determine, at our discretion, that your health condition poses a risk.
Pregnancy must be disclosed at the time of booking. We reserve the right not to accommodate individuals over 24 weeks pregnant. We may also decline participation of individuals with certain health conditions if necessary arrangements cannot reasonably be made.
Failure to submit the required medical information by the specified deadline may lead to cancellation, and relevant cancellation fees will apply.
You are solely responsible for determining whether the tour is appropriate for your health and fitness level. You must consult with your doctor for medical advice, vaccinations, or guidance. Anteros Travel does not offer medical guidance or make representations about the availability of medical services in the countries visited.
4. Special Requests
Please inform Anteros Travel of any special needs at the time of booking. While we will do our best to accommodate dietary restrictions, accessibility needs, or other personal requirements, not all destinations or suppliers are equipped to meet all requests. Some excursions or activities may not be suitable for travellers with limited mobility.
Special requests are not part of your contractual agreement, and Anteros Travel cannot be held liable for any unmet special requests.
5. Age Policy
Any traveller under 18 years of age on the day of departure is considered a minor. All minors must travel with an adult guardian. One adult may be responsible for a maximum of two minors. Unless otherwise specified, the minimum age to participate in Anteros Travel tours is 12 years.
Bookings involving minors are subject to approval. The accompanying adult must ensure that all travel documents for the minor(s) are valid and legal requirements are met. Anteros Travel is not liable for any expenses incurred due to failure to obtain such documentation.
Each adult is fully responsible for the conduct, safety, and supervision of any accompanying minor(s). Anteros Travel does not provide chaperoning or child care services.
6. Insurance Requirements
All travellers must hold valid travel insurance with at least USD $200,000 coverage for medical, evacuation, and repatriation expenses. The insurance policy must be valid for the full duration of travel.
We recommend extending your policy to include cancellation, interruption, baggage loss, and other potential risks. Insurance is not included in our tour prices and must be purchased separately.
It is your responsibility to notify your insurer of your travel plans, including activities and destinations, to ensure sufficient coverage.
7. Pricing, Surcharges & Taxes
Tour prices advertised by Anteros Travel include applicable taxes unless otherwise stated. However, prices may be adjusted to reflect increases related to:
If any change leads to an increase exceeding 8% of the total cost (excluding insurance and extras), you may:
This right to cancel applies only if exercised within 7 days of the notice.
No price increases will be applied within 20 days of your departure.
Price reductions due to the above causes may be refunded to you minus an admin fee of £50 or €50.
Discounted offers apply only to new bookings. Existing bookings are not entitled to retrospective discounts.
8. Tour Validity and Updates
Tour dates, itineraries, and prices are subject to change at any time before a booking is confirmed. Once confirmed, it is your responsibility to check your tour details, including any updates. We recommend reviewing your itinerary and the Anteros Travel website at least 72 hours before departure to ensure you have the latest information, as minor updates may occur after confirmation.
9. Deposit Terms
At the time of booking, a non-refundable deposit equivalent to 10% of the tour price per person is required. If you book within 60 days of departure, a 50% payment is due immediately. The deposit must be paid to the account provided by Anteros Travel.
For TailorMade tours or Day Tours, alternative deposit terms apply. Deposits made for TailorMade bookings are not eligible to be held as Lifetime Deposits.
In some cases, full payment may be required at the time of booking. You will be notified if this applies.
Lifetime Deposits: If you cancel your booking for any reason not related to breach of contract or non-payment, your deposit will be retained as a Lifetime Deposit. This credit has no expiry date and may be used toward another Anteros Travel tour of equal or higher value. It is transferable to another individual upon written request. Lifetime Deposits have no cash value and cannot be partially applied if the new tour is of lower value; any unused balance is forfeited.
10. Information Required for Booking
To complete your booking, you must submit all information requested by Anteros Travel before final payment is due. This may include passport copies, dietary needs, emergency contact details, or other tour-specific data.
Failure to provide such information may result in additional costs, cancellation of your booking, or missed services—at your expense. Anteros Travel accepts no responsibility for errors or omissions in the information you provide.
11. Air Travel
Tour prices do not include international or regional airfares unless explicitly mentioned. Anteros Travel will offer the best available quotes for requested flights at the time of booking, but flight pricing is not guaranteed until ticketed.
Domestic flights are booked via reputable local agencies in the country of travel and are subject to their respective terms and conditions.
12. Final Payment & Booking Acceptance
Your booking confirmation will include final payment instructions. For most products and services, payment of the remaining balance is due 60 days before your tour’s start date. If your booking is made less than 60 days before departure, full payment is due immediately.
Failure to pay on time may result in cancellation, with loss of deposit or full payment depending on the tour type.
Anteros Travel is not responsible for any bank charges, credit card fees, or third-party fees you may incur when making payments.
13. Cancellation by You
You may cancel your tour by sending written notice to Anteros Travel. Cancellation charges depend on when notice is received:
For optional extras such as arrival transfers, pre/post-night hotels, or private room upgrades:
These cancellation fees reflect the genuine costs incurred by Anteros Travel, including supplier penalties and loss of opportunity to rebook your space.
Unavoidable & Extraordinary Circumstances: You may cancel without penalty if your destination becomes unsafe due to serious events such as war, natural disasters, or disease outbreaks, and the UK Foreign Office advises against travel. In such cases, a full refund is provided (excluding insurance), but no additional compensation will be due.
14. Tour Changes or Cancellation by Anteros Travel
Once a deposit is received, most tours are guaranteed to depart as scheduled. However, Anteros Travel reserves the right to make changes due to safety, logistics, or Force Majeure.
Minor changes (e.g. slight time shifts, similar accommodation substitutions) will not warrant compensation.
Significant changes (e.g. changes in destination, downgrade of hotel standard, itinerary omissions) entitle you to:
You must inform Anteros Travel of your choice within 7 days.
In the rare case that a major part of your itinerary becomes unavailable after departure, Anteros Travel will attempt to provide suitable alternatives or reimburse part of the price.
Compensation: You may be eligible for additional compensation unless:
16. Travel Documents
It is your sole responsibility to obtain and carry valid travel documents, including a passport (valid for 6 months beyond your final travel date), visas, medical certificates, and any permits needed. Failure to obtain correct documents may result in denied entry or cancellation of services without refund.
Anteros Travel provides general advice but does not guarantee the accuracy of information regarding visa or entry requirements.
17. Flexibility & Unused Services
Tour itineraries may change at any time due to unforeseen circumstances. No refunds will be issued for unused portions of the trip if they result from your own actions, illness, late arrival, or removal from the group.
18. Booking Amendments & Transfers
If you wish to amend your booking after confirmation, notify Anteros Travel in writing. Name changes, travel date adjustments, or other modifications are subject to availability, approval, and administrative fees.
No changes are permitted within 10 days of departure.
Booking transfers: You may transfer your booking to another person if:
Both you and the transferee are jointly responsible for the full payment.
19. Acceptance of Risk
Adventure travel carries inherent risks. By booking with Anteros Travel, you acknowledge and accept full responsibility for these risks, which may include illness, injury, loss, or death due to weather, terrain, transportation, or local infrastructure.
You are expected to follow local laws, respect local customs, and comply with safety instructions. Anteros Travel reserves the right to remove any traveller whose behaviour poses a threat to others or violates local laws, with no refund.
You are also financially liable for any damage caused by your actions.
20. Anteros Travel’s Responsibilities
Anteros Travel accepts responsibility for delivering services included in your package in line with the Package Travel Regulations 2018. If services are not provided with reasonable care, and your enjoyment is affected, you may be entitled to compensation.
We are not liable for:
Our liability is limited in accordance with international travel conventions (e.g. Montreal, Athens, Paris) and cannot exceed three times the total booking cost for non-injury claims.
21. Optional Extras
“Optional Extras” refer to any product, service, or activity that is not explicitly listed as included in your itinerary or tour package price. This includes, but is not limited to, excursions, spa treatments, meals, transport, and entertainment booked during or outside the tour.
If a representative of Anteros Travel assists you in booking such services, it is solely at your request. Anteros Travel makes no guarantees about the safety, quality, or availability of these services and holds no responsibility for any injuries, loss, or dissatisfaction arising from them.
Any liability arising from Optional Extras lies entirely with the third-party service provider, not with Anteros Travel.
22. Emergency Assistance During Travel
Should you experience a problem or emergency while travelling, Anteros Travel will offer reasonable support. This includes helping with alternative travel arrangements, providing information about health services or local authorities, and assisting with communication.
However, if the issue arises from your own actions or negligence, Anteros Travel reserves the right to charge a fee for assistance and is not responsible for reimbursing any costs incurred without prior approval.
23. Force Majeure
Anteros Travel cannot be held liable or responsible for refunds, compensation, or losses resulting from “Force Majeure”—events beyond our control which could not have been avoided even with reasonable care.
These include (but are not limited to): war, acts of terrorism, pandemics, government action, strikes, natural disasters (e.g., floods, fires, earthquakes), major weather events, technical transport issues, or significant political disturbances.
In such cases, Anteros Travel will do its utmost to offer alternative arrangements where possible, but no additional compensation will be paid.
Brexit Implications: Certain travel conditions may be affected by the UK’s exit from the EU, such as changes in visas, ports, and flight access. While we monitor developments and will notify you of any impact on your booking, these are treated as Force Majeure and not eligible for compensation.
24. Media, Photos & Marketing
During your trip, photographs or video footage may be taken that include your likeness. By joining an Anteros Travel tour, you grant us and our affiliates a royalty-free, irrevocable, worldwide license to use these images for promotional purposes in any format (digital, print, web, etc.) without further approval or compensation.
If you prefer not to be included in promotional content, you must inform your tour leader in writing before or at the start of your tour.
25. Privacy & Data Protection
To deliver the services you’ve booked, Anteros Travel must collect and process personal data including sensitive information where necessary. This data is used solely for the purpose of arranging your travel and related services and is shared only with those third-party suppliers involved in delivering your tour.
By providing your information, you agree to Anteros Travel’s Privacy Policy. You may request access to your personal data or raise concerns at any time.
26. Severability
If any clause or part of these Terms is determined to be invalid, illegal, or unenforceable under applicable law, the remainder of the Terms will continue to apply and remain in full force.
27. Contract Parties & Successors
These Terms bind and benefit both parties (you and Anteros Travel) and their respective heirs, legal representatives, executors, successors, and permitted assigns.
28. Amendments to Terms
Anteros Travel reserves the right to amend these Terms & Conditions at any time. Updated versions will be published on our official website and will take effect 10 days after posting.
You are encouraged to review the latest Terms before departure. Continued participation in our tours after changes have taken effect indicates your acceptance of the new Terms.
